Selling One-of-a-Kind or Limited Items with Inventory Tracking

If you sell limited-edition prints, original artwork, or physical products where only one of each item is available, the inventory tracking tools in your PhotoBiz ECommerce store make it easy to manage availability and prevent overselling.

This article will explain why inventory tracking is important for photographers and walk you through how to set up a product with a quantity of one.

Why Use Inventory Tracking?

Photographers often sell one-of-a-kind or limited products—such as fine art prints, albums, or custom merchandise. With stock tracking, you can:

When you set a product's quantity to 1, it will automatically be marked as Out of Stock once purchased.

✅ Provide a Better Shopping Experience

Clients only see what's actually available—no confusion or duplicate orders.

✅ Stay Organized

Inventory tracking helps you manage what's been sold and what needs to be restocked.

How to Set Up Inventory Tracking for a One-of-a-Kind Product

💡 Note: Your PhotoBiz Website package includes up to 1,000 SKUs. If you need more, you can purchase them in blocks of 1,000.

STEP ONE

Log in to your PhotoBiz account and click ECOMMERCE from the left-side menu.

STEP TWO

At the top of the ECommerce dashboard, hover over SELL ONLINE and click PRODUCTS from the dropdown menu.

STEP THREE

Click on the product you want to track.

STEP FOUR

In the product settings, click the STOCK tab.

STEP FIVE

Decide if your product has multiple options:

  • If your product does not have variations (like size or color), leave the toggle set to No and continue.
  • If your product does have options that each need their own inventory count, toggle to Yes when asked:

    “Does this product have multiple options with limited quantities?”

STEP SIX

If you selected Yes:

  1. Choose the specific options that need limited quantities.

  2. Enter the available quantity for each option (e.g., set to 1 if you only have one of each).

  3. Click Add Line Item after each entry.

  4. Click Start Tracking Stock when finished.

⚠️ Note: Each product or option must have a unique SKU. SKUs are auto-generated by default, but you can enter your own if preferred.

CHECKING YOUR INVENTORY

You can view stock levels at any time by going to TRACKING > STOCK in your ECommerce control panel. This gives you a full overview of inventory across all products.

WHAT CUSTOMERS SEE

PhotoBiz automatically updates product availability based on your inventory settings:

  • The quantity dropdown will only show the number of items in stock.
  • If a product is sold out, it will display “Out of Stock” on the product page and cannot be purchased.

Inventory tracking is a great way to confidently sell your limited-edition or one-of-a-kind products while giving your clients a seamless shopping experience.
