Selling One-of-a-Kind or Limited Items with Inventory Tracking in PhotoBiz

If you sell limited-edition prints, original artwork, or one-of-a-kind products, inventory tracking in PhotoBiz helps you control availability and prevent overselling. By setting a product quantity, you ensure that items automatically become unavailable once sold. This creates a smoother buying experience for your clients and keeps your store organized.
In this guide, you will learn why inventory tracking is important and how to set up a product with a quantity of one.
Why Use Inventory Tracking?
Photographers often work with unique or limited products. Inventory tracking helps you manage those items more effectively.

- When you set a product quantity to 1, it will automatically display as Out of Stock after purchase

STEP ONE
Log in to your PhotoBiz account and click ECOMMERCE from the left-side menu.
STEP TWO
At the top of the ECommerce dashboard, hover over SELL ONLINE and click PRODUCTS from the dropdown menu.
STEP THREE
Click on the product you want to track. This opens the product editor.
STEP FOUR
Inside the product editor, click the STOCK tab to access inventory settings.
STEP FIVE
Decide whether your product has multiple options with separate inventory.
If your product does not have variations, leave the setting as No and continue.
If your product includes options like size or color that each need their own inventory, enable the setting that asks if the product has multiple options with limited quantities.
STEP SIX
If you enabled multiple options, select the specific options that need inventory tracking. Enter the available quantity for each option, such as 1 for one-of-a-kind items.
Add each option as a line item, then start tracking stock once all quantities are entered.
FINAL STEP
Confirm that your inventory tracking is active. When a client purchases the item, the quantity will automatically update. If the quantity reaches zero, the product will display as Out of Stock and can no longer be purchased.
Checking Your Inventory
You can monitor your inventory at any time.
- Go to TRACKING at the top of your control panel
- Click STOCK to view all product quantities in one place
This gives you a full overview of what is available and what has sold.
What Customers See
Your inventory settings directly control how products appear to clients.
- The quantity selector will only show the number of items available
- Products that sell out will display Out of Stock
- Sold-out items cannot be added to the cart
This ensures your clients always have an accurate view of your availability.
Additional Notes
- Each product or option must have a unique SKU
- SKUs are automatically generated, but you can customize them if needed
- Your PhotoBiz Website Package includes up to 1,000 SKUs
- Additional SKUs can be purchased in blocks if needed
